Refund and cancellation policy

Draft — pending counsel review. This page is not final yet and may change before it takes effect.

Effective date: 16 October 2026

This policy explains how cancellation and refunds work for Aviral WhatsApp Platform, which Aviral Techlab Private Limited ("Aviral Techlab", "we", "us") provides. It forms part of our Terms of service.

If you signed an order form or a separate agreement with us, that document comes first. Where it differs from this page, the order form applies.

1. How billing works

  • Plans are billed in advance, monthly or yearly. A yearly plan costs ten months' price for twelve months.
  • Prices are in Indian rupees and exclude GST. We add GST at 18% (or the rate in force) and issue a GST tax invoice for every payment. Add your GSTIN in Settings → Billing to get it on your invoices.
  • Subscriptions renew automatically for the same period until you cancel.
  • Payments are processed by Razorpay, by UPI, card or net banking where available.
  • Every new workspace gets a 14-day free trial with Growth features. Nothing is charged during the trial. If you don't choose a paid plan by the end of it, we suspend the workspace.

2. Cancelling your subscription

  • You can cancel at any time in Settings → Billing, or by writing to support@aviraltechlab.com from the account administrator's email address.
  • Cancellation takes effect at the end of the current paid period. You keep full access until then, and we don't charge you again.
  • Changed your mind before the period ends? You can undo the cancellation in Settings → Billing.
  • When the subscription ends, you can export your data for 30 days, as the Terms of service explain. After that, we delete it on the schedule in our Privacy policy.

3. Refunds

Plans are paid in advance and the Service is available to you from the day a period starts. So we don't refund fees for a period that has already started, and we don't refund part of a month or a year after you cancel, downgrade or stop using the Service.

We do refund in these cases:

  • Duplicate or incorrect charge. You were charged twice for the same period, charged an amount that doesn't match your plan or invoice, or charged after a cancellation that took effect before the renewal date. We refund the full amount that should not have been charged.
  • What the law requires. We refund where Indian consumer protection law or another law gives you a right to a refund.
  • Cases our other terms provide for. These are a pro-rata refund of prepaid fees for the unused period if (a) you don't accept a material change to the Terms of service and cancel before it takes effect, (b) you object to a new sub-processor under the Data processing agreement and we can't resolve it, or (c) we end the affected part of the Service because of an infringement claim. We also refund the unused part of prepaid fees if we end your paid subscription for any reason other than your breach of the Terms or non-payment.
  • Our discretion. We may refund or credit in other cases, one case at a time. Doing so once doesn't mean we will do it again.

Changing plan

  • Upgrade, or extra seats. You pay only the difference for the rest of the current period, worked out day by day. That payment is not refundable.
  • Downgrade, or switching from yearly to monthly. It takes effect at the end of the paid period. Nothing is charged and nothing is refunded for the period you already paid for.

4. What we can't refund

  • WhatsApp message charges. Meta bills you directly for WhatsApp messages and calls, in your own Meta Billing Hub. We don't charge or mark up those fees, so we can't refund them. Raise a billing dispute with Meta. We'll help you find the right place to do it.
  • Message credits. If you prepay message credits through the wallet in Aviral WhatsApp Platform, credits you have already used are not refundable. When you close your account, you can ask in writing, within 30 days, for the unused balance of credits you bought to be refunded to your original payment method. Free and promotional credits are not refundable.
  • Third-party costs. Amounts we paid to others on your behalf, such as a domain registration or a telephony charge, are not refundable unless the provider refunds us.
  • Setup and custom work. Onboarding, integration or development work under an order form follows the payment and cancellation terms in that order form.

5. GST on refunds

A refund includes the GST on the amount we refund. We issue a credit note against the original tax invoice, under the GST law, and show it against the GSTIN on your invoice. If you claimed input tax credit on the original invoice, reverse it for the refunded amount.

6. How to ask for a refund

Email support@aviraltechlab.com from the account administrator's email address. Include:

  • the invoice number, or the Razorpay payment ID or bank reference;
  • the amount and date of the charge;
  • what went wrong, or why you are asking.

Please tell us within 30 days of the charge, so we can check it against the payment gateway's records. We still look at later requests where the law gives you more time.

7. How long a refund takes

  1. We acknowledge your request within 2 business days and tell you if we need more information.
  2. We decide within 7 business days of having everything we need, and tell you in writing. If we decline, we explain why.
  3. An approved refund is sent to the original payment method: the same card, UPI ID or bank account. It normally reaches you in 5 to 7 working days after approval. Your bank or card issuer can take a few more days to show it.
  4. If the original payment method is closed or can't take a refund, we refund by bank transfer after checking the account is yours.

For refunds that are our own billing error, we refund the full amount. For other refunds, we refund after deducting any charges you agreed to in writing.

Support hours: Monday to Saturday, 10:00 to 19:00 IST (excluding public holidays in Delhi). "Business days" are days on which support is open.

8. Failed and pending payments

  • If money left your account but the payment failed, your bank usually reverses it automatically within 5 to 7 working days. If it doesn't, write to us with the payment ID and we'll chase it with Razorpay.
  • If a renewal payment fails, we tell you by email and retry. If it stays unpaid 15 days after our reminder, we may suspend the Service, as the Terms of service explain.

9. Disputes and chargebacks

Please write to us before you raise a chargeback with your bank or card issuer. Most billing problems are quicker to fix with us directly. If you do dispute a charge, we send the evidence on the charge to the payment gateway as it asks.

10. Questions and complaints

Write to support@aviraltechlab.com. If you're not satisfied with our reply, write to our Grievance Officer: Grievance Officer, Aviral Techlab Private Limited, grievance@aviraltechlab.com. We acknowledge a complaint within 48 hours and aim to resolve it within one month, as the Consumer Protection (E-Commerce) Rules, 2020 expect.
